Families leave their children's learning and personal information to Astra Learning Academy. We take our responsibility seriously. This policy is designed to describe the information that is collected, why it is collected and how it is kept safe and secure in a clear and accessible way.

We are a tutoring academy in Richmond, British Columbia. We follow the Personal Information Protection Act (PIPA), which sets the rules for how private organizations in BC handle personal information. When we send marketing emails, we also follow Canada’s Anti-Spam Legislation (CASL).

Students and Parents

Since most of our students are children, we usually get their information from a parent or guardian. We ask parents or guardians to enroll students and give consent for us to collect and use their information. If a student is old enough to enroll themselves, we still apply the same protections. We only collect what we need to teach and keep families informed.

What We Collect

When you book an assessment or get in touch, we usually collect:

  • The person asking the questions' name, typically a parent or guardian of the student.
  • A contact number and email address.
  • The student's grade level and the program and subject of their interest.

When a student joins us, we keep academic information like assessment results, learning plans, and progress notes. This can assist us to monitor growth and provide helpful updates.

If you leave us a review, we collect your name, email, rating, and the comments you write.

We also collect some information automatically when you visit our website, such as your IP address, the pages you view, and the device you use. This happens through cookies and tools like Google Tag Manager, which we explain later.

Why We Collect It

All the things we collect are used for your child's learning and to make you aware. We use it to:

  • Evaluate and create a customized learning plan for a student(s).
  • Facilitate and monitor sessions, and provide regular feedback to parents.
  • Answer questions and organize lessons.
  • Make appointments and arrange payment for our programs.
  • Send updates or offers, if you’ve asked to hear from us.

Who We Share It With

We never sell your information or share a student’s details with anyone who does not need them. Only tutors and staff working with the student, and a few trusted services that help us run the academy, like booking or communication tools, may see your information. Everyone we work with must keep your information confidential.

If you give us permission, we may share a student’s progress with their schoolteacher if it helps their learning. Otherwise, we only share information if the law requires it.

Progress Updates

Keeping parents informed is central to what we do. We share assessment results, progress notes, and learning plans with the parent or guardian connected to the student’s account. If you’d prefer updates to go to someone else, just let us know.

Cookies and Our Website

Through the use of cookies and other tools on our website we ensure that it works properly and we also try to understand how visitors use our website. Cookies can be controlled or denied in the settings of your Web browser, although certain features may not function as well if cookies are denied.

Email and Updates

If you are a registered recipient of our news and information, we may contact you with news, updates or offers. All e-mails contain an unsubscribe link, and one click gets you off the list. It does not matter to your child if you don't receive marketing, it will not impact your child's classes or our ability to contact you.

Keeping Information Safe

We protect your information with practical safeguards, such as limiting who on our team can access student files and storing records in secure systems. While no system is completely risk-free, so we can’t promise perfect security, but we work constantly to protect your family’s information.

How Long We Keep It

We keep information for as long as a student is with us and for a reasonable time afterward, in case a family returns or we need it for business or legal reasons. Once we no longer need it, we dispose of it securely.

Your Rights

BC law gives you control over your information. You can:

  • Ask to see the personal information we hold about you or your child.
  • Request a correction if something is wrong or out of date.
  • Withdraw consent or ask us to stop sending marketing.

Please contact us using the details below. We may need to confirm your identity, and for a child’s information, confirm that you are the parent or guardian before we take action.
