Terms & Conditions

These terms cover how we work together when you enrol a student at Astra Learning Academy or use our website. By enrolling a student, registering for a program, or using our website, you agree to them.

Who We Are

Astra Learning Academy is a STEM-focused learning academy for students in grades K to 12, following the BC curriculum, in Richmond, British Columbia. In these terms, "we," "us," and "our" mean Astra Learning Academy. "You" means the parent or guardian enrolling the student. "Student" means the child enrolled.

Our Programs

We offer personalised one-on-one instruction, small-group sessions for four to six students, enrichment and acceleration, school exam and test preparation, workshops and camps, and code and science labs. Our Foundations track supports grades 1 to 8, and our Pathways track supports grades 9 to 12. Our programs support school learning but don't replace it.

Enrolment and Free Assessment

Enrolment starts with a free assessment, which helps us build a personalised learning plan. A parent or guardian needs to complete enrolment for any student under 18. The assessment gives us a chance to get to know the student and doesn't commit you to a program.

Parents and Guardians

It is your responsibility to provide the school with correct information, including contact information and emergency contacts, as well as to keep it current. Please inform us of any special considerations the student may have in regard to learning or health issues.

Fees and Payment

Our fees for each program are shown when you enrol. Fees are payable in advance, [insert billing schedule, for example monthly or per session package]. We'll let you know the accepted payment methods when you enrol.

Attendance, Rescheduling and Make-Up Sessions

Please give us at least [24 hours'] notice if a student can't attend so we can offer the time to someone else. Sessions cancelled with enough notice can be rescheduled where there's availability. Sessions that are missed or cancelled late aren't refunded and may not be made up. Make-up sessions must be used within [insert period].

Withdrawing and Refunds

If you'd like to withdraw a student, please give us [insert notice period] in writing. [Insert refund policy for unused prepaid sessions.] Fees for sessions already delivered aren't refundable.

Camps and Workshops

Camps and workshops may have their own registration terms, including deposits and refund deadlines, which we'll share when you register. If we cancel a camp or workshop, we'll offer you a refund or a place in another session.

Student Conduct

We keep our learning spaces safe and respectful. We expect students to be respectful of staff, other students, and equipment. If a student's behaviour keeps others from learning or puts anyone's safety at risk, we'll talk with you first, and may pause or end enrolment if the problem continues.

Safety, Supervision and Pick-Up

We supervise students during their sessions, and our academy isn't a childcare service. Please drop students off and pick them up on time. If you're running late, let us know. If a student is unwell, please keep them home. In an emergency, we'll call 911 where needed and contact you straight away.

Progress and Results

We monitor each student's progress and will keep you updated. Every learner is different, and achievements depend on factors such as attendance, hard work, and practice at home.

Academic Integrity

Our tutors teach, guide, and support. We don't complete assignments, tests, or projects for students to hand in as their own.

Photos and Videos

We only use photos or videos of students in our marketing with a parent or guardian's written permission, which you can give or decline when you enrol and withdraw at any time.

Technology and Equipment

Some programs, such as our code and science labs, use computers and equipment. Please make sure students use them responsibly. You may be asked to cover the cost of damage caused by misuse.

Privacy

We collect student and parent information with your consent and handle it in line with British Columbia's privacy law and our Privacy Policy.

Liability

We take care of students and equipment in our academy. To the extent the law allows, we're not responsible for lost or damaged personal belongings, or for issues outside our reasonable control. Nothing in these terms limits any responsibility we have where the law doesn't permit it to be limited.

The content on our website belongs to us and may not be copied or reused without our permission.

Governing Law

These terms are governed by the laws of the Province of British Columbia and the laws of Canada that apply there.

Changes

We may update these terms from time to time. The date at the top shows the latest version.
